They explain both the meaning of each data item and what it is used for.
Instructions
When you submit your personal details in the above form, these are recorded in
the site database and extra functionality becomes possible:
- email notification of results
- regular email newsletter
- changes since last visit listed on home page
- tournament entry forms can be pre-filled with parent and player details
The data items are used as follows:
- Email - used to email results and newsletters. Also used if your browser
should 'forget' your user ID (i.e. you lose or delete the relevant cookie - see further
down for info on cookie use and privacy). This item is mandatory - if you don't wish to
receive emails from the system, any text/name will suffice.
- Password - needed to update your user details or when pre-filling an
online entry form. If you tick the 'Remember Password?' check-box, then you will
not be required to enter a password manually.
A password change function is outstanding - if you should forget your password, then
- Surname and Forenames - used to address email messages and to pre-fill
parent details in online entry form.
- Tel Num - used to pre-fill entry forms.
- Results Service - choose the blank/empty option if you do not wish to
receive any results emails. Choose 'all' to receive an email when the results
of any tournament or match are posted. These emails are typically sent out weekly
with several events. Select 'interestOnly' to only receive results for which
you have recorded an interest (See 'User Interests' below), e.g. only results for
events in which particular players took part. The likely number of emails will
obviously depend on how many 'interests' you record and how commonly that
information triggers a result to be sent.
- Newsletter - Tick the box if you wish to receive the regular
email newsletter. These go out roughly at the end of each half term.
- Email Format - The default 'html' option will enable the emails you
receive to include more formatting, such as colours, fonts and links to particular
pages on the website. The 'plain' option is available for people who prefer emails
in plain text.
Cookies and Privacy
When you enter your details for the first time, the system allocates you a User ID.
This ID is stored in a cookie (a small file stored on your computer). This cookie is sent
to the server with each page request enabling the server to identify you if needed.
For example, John Smith fills in and submits the above form and is allocated ID number 20
which is stored in a cookie on his computer. When he clicks on an entry form link, the
entry form program will be able to use the User ID from the cookie to look up parent
and player names and the form can thus be filled in.
Cookies can and are used by some websites to track your web surfing. All browsers
enable you to disable cookies if you wish; many allow you to choose which cookies you
store on a site-by-site basis. If you don't allow this site cookie to be stored, then
many of the extra features will not work (the email results service will still work).
The default setting for all browsers that I know of is to allow the cookie from
this site to be stored.
I will not give out any of the details recorded above to anyone else for any
reason whatsoever (I don't think there are any
loopholes in that statement). Your email address is used to
send emails from this site, with tournament/match results or BJC-related news only.
The emails do not contain any ads.
The site records the date and time of your most recent site visit, and this is used
to determine your own personal 'what's new' list. Individual site visit records are
also recorded, but are anonymous.
